Use App Engagement Data to Identify At-Risk Members

Identifying at-risk members means tracking drops in app engagement against each member’s own baseline: fewer sign-ins, less feature use, and unopened notifications and polls. The earlier you catch the drop, the more time you have to act before renewal.

Take a member who logged in nearly every week for three years and checked their chapter forum regularly. But in the past four months, they haven’t used the app at all. That’s the kind of drop-off your app can help you catch long before renewal season.

Start with these thresholds:

💠 An engagement score that drops 50% or more from a member’s own average

💠 Three months or more with no login

💠 A drop in resource library or forum visits in the past few months, despite a history of  regular participation

💠 Several consecutive push notifications unopened or polls unanswered

These warning signs appear months before a member decides not to renew.

Pair these app signals with what you already know from the member’s record. A first-year member who barely uses the app needs a welcoming nudge. A five-year member who suddenly disappeared needs a message that acknowledges the change. If a member never downloaded the app or never signed on at all, that absence is a data point too, one we’ll come back to later.

 

Sort by Member Engagement First, Then Demographics

Once you see who’s engaged and who isn’t, group members into tiers: highly engaged, steady, slipping, and dormant or never active. A three- or four-tier model built from your existing data is a good starting point.

Personalized outreach from staff is the tactic associations use most to reengage inactive members, ahead of event invitations, feedback requests, and “we miss you” campaigns, according to the 2026 Membership Marketing Benchmarking Report from Marketing General (MGI). Segmenting by engagement level, membership type, career stage, or interests makes personalization even more effective.

Let’s say you have two members in your slipping tier who are up for renewal this month. One is a five-year veteran at a large firm who used to attend nearly every webinar. The other just finished college and joined eight months ago. They need different messages based on demographic factors, even though they’re both in the same tier.

 

Time Member Outreach to Your Renewal Calendar

Reengage a slipping member the moment they start to fade, well before the 90-days-from-renewal mark. If a member renews, stays active for a few weeks, then drops off, there’s no reason to wait until the next renewal period to reach out. Catching the fade early gives your team months to plan and act.

Per MGI’s report, only about one in four associations build a 30-day check-in into a new member’s first year. Just 29% add a touchpoint before a new member’s first renewal. Most teams still have room to start outreach earlier than they do today.

If your team doesn’t have time to monitor every member’s engagement year-round, a 90-day window before renewal is the next best approach. Begin outreach at that point, then add urgency as the deadline nears. A wavering member has often mentally moved on by the 30-day mark, so 90 days gives you enough time to act before their membership expires.

According to the MGI survey, 96% of associations use email in their renewal series and 83% rate it their most effective tactic. Associations send an average of six renewal emails—a single notice rarely does the job.

If your entire membership renews on one fixed date, run your at-risk outreach as one concentrated push as the date approaches. If renewal dates are staggered on each member’s join-date anniversary, run monthly renewal cohorts instead. Give the slipping members inside each month’s group first attention.

 

Match the Engagement Channel to the Data You Have

For members using your app, you already have an engagement channel that works. Reengage them there with an in-app message tied to a feature they used before or a push notification for a resource matching their interests.

Some members have no in-app data because they never downloaded or used the app. Reach them through email, phone call, text, or postcard. Give them a reason to log in for the first time.
